Managing Permissions

Control who can view, edit, and manage your Vaults, Documents, and Process Maps.

Permissions apply at two levels:

  • Vault level (includes folders inside Vaults)

  • Document or Process Map level (individual files)


🔐 Vault Permissions

Vaults are where documents and process maps live. They can be shared organisation-wide or limited to specific people.

Vault Types

  • Open to all
    Everyone in the organisation can view and edit

  • Restricted
    Only selected users and teams can access

Access Levels

  • Full Access: Can manage the vault and everything in it

  • Edit Resources: Can edit documents and process maps inside the vault

  • View Only: Can view content, but can’t make changes

  • No Access: Can’t see the vault or its contents

You can set different levels for individuals and teams. For example:

  • All organisation members: No Access

  • Specific users: Full Access or Edit Resources


📄 Document & Process Map Permissions

Documents and Process Maps follow the same permission system. You can:

Use Vault Permissions

Most files default to their parent Vault’s settings.

“This document's permissions are controlled by its vault’s settings”

Customise Permissions

Override the vault settings to allow edits by just a few people:

  • Everyone in the vault will be view only

  • You can give edit access to specific users or teams

“All vault members can view, but only selected people can edit”


🗂 Folders = Nested Vaults

Folders inside Vaults follow the same rules.
They behave like mini-vaults—with their own permission settings.


👥 Tips for Managing Access

  • Organisation Admins and Owners always have full access

  • You can change someone's access level or remove them at any time

  • Permissions don’t cascade—changing one document doesn't affect others unless it’s inheriting from the vault
