Secure Access for Your Process Knowledge

Vaults control who can view, edit, and manage your documentation.

What is a Vault?

A Vault is a secure space to:

  • Store SOPs and Process Maps

  • Control user and team access

  • Organise documentation by function or team

Vaults are the top-level container for everything in Fluency.


Vault Types

Vault Type

Access

Global Vault

Open to all Organisation Members
→ Everyone can view, edit, and contribute

Restricted Vault

Limited to selected users or teams
→ Access must be explicitly granted

Admins and Owners can toggle between types as needed.


Vault Access Levels

Full Access (Manager)

Manage the vault and all contents

Edit Resources (Editor)

Edit documents and process maps

View Only (Viewer)

View content only

No Access

Can't see the vault or its contents

Org Admins and Owners always have full access.


Create or Edit a Vault

To create a vault:

  1. In the sidebar, click + New > Vault

  2. Add a name and description

  3. Choose access settings

To update:

  • Open the vault

  • Click the settings icon

  • Change name, description, or access
